Branch Administrator  - Thetford Branch

20-25 hours per week

The Administrator is required to ensure that all administrative procedures are carried out in accordance with the established procedures and to maintain the daily administrative duties of the branch. You will be reporting directly to and working closely with the Branch Manager.

Main Tasks and Responsibilities:

  • To ensure that all administrative procedures are carried out in accordance with the established procedures.
  • To maintain the daily administrative duties of the branch.

Recruitment Administration:

  • Administer the branch recruitment process including organising recruitment advertising and arranging interviews.
  • Ensure the correct documentation is obtained from candidates in accordance with company policy and legislation.
  • To request a DBS check, medical information, and references for each new applicant.
  • To ensure the application verification and all documents are complete in line with legal requirements and company policy.
  • Ensure that the correct letters and documents are issued to candidates with regards to not shortlisted for interview, invite to interview, not successful at interview, offer letters and contracts of employment.
  • To maintain and keep up to date employee personnel files.

Financial Administration:

  • To check and confirm on call monitoring daily, to ensure information is accurate against care times delivered.
  • To monitor concern alerts, to check with senior staff awareness of alerts and actions taken. To ensure accurate records of actions are recorded within system in a timely manner.
  • Communicating starter and leaver information to the payroll team for timely pay scales.
  • To respond to care staff in regards to pay roll issues, communicating with Head Office in regards to issues arising and communicating outcomes to care staff in a timely manner.

General Administrative Duties:

  • Monitoring COVID testing and communicating results back to senior teams and Manager for actions.
  • Monitoring MEDEX training system, running reports to identify staff training outstanding and inputting completions.
  • To ensure enquires taken on the phone daily are inputted into CIVICA promptly and passed to relevant team member.
  • Completing archiving required within the branch and ensuring storage within Health and Safety policies.
  • Ensuring timely pay of invoices are completed.
  • Ordering of office stationery and uniforms

Knowledge and Experience:

  • Previous administrative experience is desirable, but not essential as full training can be given.
  • Previous experience working within the homecare industry is desirable.
  • Excellent working knowledge of IT systems is required.

Education and Qualifications:

  • General secondary education qualifications.
  • Level 2 or 3 business and administration or equivalent is desirable
